Foreline

Front office

Picks up when you're on a ladder.

An AI receptionist that answers 24/7 in your trade's language, books the appointment into your calendar and writes the call into your CRM. It keeps working the estimates you haven't closed. Your phone still rings first.

It says it's an automated assistant on every call, and gets a person when a person is needed.

How a call goes

How it works

Your phone first. Then the receptionist.

It only takes the calls you'd have missed.

  1. 01

    Your phone rings first

Your line forwards to the receptionist only when you're busy or don't pick up. If you answer, it never hears the call. One code on your phone turns forwarding off.

  2. 02

    It answers like your office

It says it's an automated assistant and that the call is recorded, asks what you'd ask, answers from your service list and your own price line, and gets a person when a person is needed.

  3. 03

    Booked and written down

It books the appointment into your calendar and writes the call into your CRM. Missed calls trigger an instant alert so a person calls back.

What it does

An office that never goes home.

  • Answers 24/7

Days, nights and weekends, in your trade's language.

  • Says it's automated

It never pretends to be you. It tells callers it's an automated assistant and that the call is recorded.

  • Books into your calendar

It checks your real availability and books the estimate appointment.

  • Writes to your CRM

Every call lands in your CRM, so nothing lives only in your head.

  • Follows up quiet estimates

We load your open estimates, and the ones that went quiet get followed up by email until the customer replies, signs or says no.

  • A local number

It gets its own number in your area code. Your customers keep calling the number they already have.

  • Honors do-not-call

If a caller asks not to be called again, it's honored in the same call and written to your own do-not-call list.

  • Instant missed-call alert

Missed calls trigger an instant alert so a person calls back.

Fit

Who the Front office is for.

Built for

  • Exterior contractors: siding, roofing, gutters, windows
  • Owners who answer their own phone, often from a roof or a ladder
  • Crews of 1 to 10 with nobody at a desk
  • Shops that lose calls after hours and on weekends

Not for

  • Companies with a full office and someone on the phone all day
  • Anyone who wants every call answered by a machine. Your phone rings first, by design.

What you get

Written from how you answer the phone.

Setup, one time

  • A 45-minute kickoff call: we learn how you answer the phone
  • Your receptionist, written from your words: your greeting, the price line you're comfortable giving, what you never quote
  • Its own number in your area code, with forwarding on busy and no-answer only, tested with you
  • The missed-call alert, wired
  • Booking connected to your calendar
  • Every call written into your CRM
  • Unsold-estimate follow-up, loaded from your open estimates
  • Your team trained
  • A week of tuning: we listen to every call for the first week

Every month

  • Hosting and updates
  • Support by email
  • Call minutes

Going live

Usually answering calls about a week after the kickoff.

How that week usually goes, and what we need from you.

  1. Kickoff call, 45 minutes

We learn how you answer the phone.

  2. Your agent and its number

We write your agent from your words and set up its number in your area code.

  3. Forwarding, switched on together

On a 20-minute call: busy and no-answer only, so your phone always rings first. You turn it off and back on once yourself, so you know the fallback works.

  4. Twenty test calls, three recordings

We run 20 test calls. You listen to three of the recordings and reply "Approved". It doesn't go live before that.

  5. Live

Usually about a week after the kickoff. For the first week we listen to every call and tune it. Day 3: a 15-minute check-in. Day 7: a 30-minute check-in and your first weekly report.

What we need from you

  • The line to forward, and your phone carrier
  • Your hours, and what happens after hours
  • Who to reach in an emergency, and a backup
  • Your service area, and the work you don't do
  • Your phone price line, word for word, and what you never quote
  • Ten things homeowners say to slow you down, and your answers
  • A 60-second voice memo of how you answer
  • Your calendar, and how long an estimate appointment takes

Texting isn't part of go-live: business texting needs a carrier registration under your own business, and we don't promise a date for it.

FAQ

Front office questions.

What happens when I miss a call?

With the front office on, the AI receptionist answers 24/7 in your trade's language and can book the caller straight into your calendar. Missed calls trigger an instant alert so a person calls back. Estimates that haven't sold get followed up until the customer answers.

Does it pretend to be me?

No. It says it's an automated assistant in the first sentence of every call, and that the call is recorded. When someone wants a person, it stops and gets one.

Will it annoy my customers?

You hear it before any customer does. We run 20 test calls, you listen to three of the recordings, and it doesn't go live until you reply "Approved". If it sounds like a robot to you, don't buy it.

Do my customers need a new number?

No. They keep calling your number. The receptionist has its own number in your area code, and your line forwards to it only when you're busy or don't pick up.

What if it breaks?

Your phone rings first, so a broken agent never stops your line from ringing. Turn forwarding off with one code and every call rings your phone, exactly as before. Then email support@forelinesystems.com: if your agent is down, we respond within 4 hours of support time.

Does it send text messages?

Not at go-live. Business texting in the US needs a carrier registration under your own business, and we don't promise a date for it. Until then, missed calls trigger an instant alert so a person calls back.

Do I need Hover for the Front office?

No. The front office doesn't need Hover.

A 15-minute call. No slides. Bring one Hover report from a real job and watch it turn into a priced estimate. If it's not a fit, we'll tell you.
