Privacy Policy

This policy explains, in plain English, what Foreline Systems collects when you use this website or ask us for a demo, what we do with it, who else sees it, and how to get it changed or deleted.

1. Who we are

Foreline Systems is a software and services company for exterior contractors, based in the Chicago suburbs, Illinois, United States. We build the Foreline estimator and the Foreline AI front office.

Foreline Systems is the controller of the information described in this policy — meaning we decide what is collected and why.

2. What we collect when you fill out our form

When you request a demo on this site, you give us:

  • Your name
  • Your company name
  • Your phone number
  • Your email address
  • Whether you are a contractor or business owner
  • Your trade (siding, roofing, gutters, windows, HVAC or other)
  • About how many estimates you send per month
  • Whether you use Hover or another measurement service
  • Your consent choices — whether you checked the box to let us call you, and whether you checked the box to let us send you text messages

Alongside your answers, the form records evidence of the consent choices you made, so we can prove later exactly what you agreed to and when. That record is:

  • The version of the consent wording you were shown (consent_text_version)
  • The date and time you submitted the form (consent_timestamp, submitted_at)
  • The page address you submitted it from (consent_page_url, landing_url)
  • Your browser's user-agent string — the browser and device type your browser reports (consent_user_agent)
  • Your IP address at the time of submission, on a best-effort basis (consent_ip). If our IP lookup fails or you block it, this is simply left blank and nothing else changes.

We also record how you arrived: the campaign tags on the link you clicked (utm_source, utm_medium, utm_campaign, utm_content, utm_term), Meta's click identifier (fbclid) if you came from a Meta ad, and an event identifier we generate so the same submission isn't counted twice in our advertising reports (event_id).

Everything on the form other than the two consent boxes is required to send the form. The two consent boxes are optional, and we mean it. Leave both unchecked and we'll reach you by email, and a person may call you back — never an automated or AI voice.

3. Website data, cookies and the Meta Pixel

This site uses the Meta Pixel and, in future, Meta's Conversions API, so we can measure whether our ads are working and stop paying for the ones that aren't.

Through the Pixel and the Conversions API, Meta may receive:

  • Cookies Meta sets in your browser, and device and browser identifiers
  • Your IP address
  • The pages you visited on this site and the actions you took, such as submitting the demo form
  • Contact information you gave us — your email address and phone number — in hashed form, meaning scrambled into a fixed code before it is sent, so it can be matched against an existing Meta account without transmitting the raw value

We use this for three purposes and no others:

  • Conversion measurement — knowing which ad produced which demo request
  • Retargeting — showing ads to people who visited this site and did not ask for a demo, and excluding people who already did
  • Lookalike audiences — asking Meta to find people who resemble our existing leads

To opt out:

  • Adjust what Meta may use for advertising in your Meta ad preferences and, if you have one, your Instagram account settings.
  • Block or delete cookies in your browser settings, or use your browser's tracking-protection or private-browsing mode. Most browsers let you block third-party cookies entirely.
  • Use your device's system-level advertising controls — for example "Limit Ad Tracking" on iOS or the equivalent Android setting.

Netlify, which hosts this site, also keeps ordinary server and security logs of requests to it, including IP addresses.

The site's typefaces are served by Google Fonts. When a page loads, your browser fetches them from Google's servers (fonts.googleapis.com and fonts.gstatic.com), so Google receives the details any web request carries, such as your IP address and your browser's user-agent string.

4. Who processes this for us

The demo form on this site is submitted through Netlify Forms. Netlify hosts this website and stores the submissions on our behalf, then forwards them to us. Netlify processes this data under its own terms as our service provider.

From there, submissions reach us through Google Workspace — Gmail, Google Sheets and Google Calendar — which is where we read your request, keep our record of it, and book demos. Google acts as our processor for that.

Make.com moves information between these systems on our instruction. It is a pipe, not a destination.

5. Calls, recording and AI processing

If you check the call-consent box, we may call you about your demo request and about Foreline's services — including calls placed with an automatic dialing system or with an artificial, prerecorded or AI-generated voice.

Calls with our AI phone agent may be recorded and transcribed. The audio and the transcript are processed by our AI voice provider, Retell AI, and by us, to understand what you asked for, qualify your request, book an appointment, and improve how the agent handles calls.

Two things we want to be explicit about:

  • We do not use your voice to identify you. We do not create, store or compare voiceprints or any other biometric identifier from your call.
  • We do not sell recordings or transcripts, and we do not use them for advertising.

As our policy, call recordings and transcripts are retained for 90 days and then deleted. If you want your recording deleted sooner, email us and we will do it.

You can revoke call consent at any time by telling the caller, or by emailing hello@forelinesystems.com. You can also ask us not to record a particular call.

6. Text messaging

If you check the text-message box, you agree to receive text messages from Foreline Systems at the number you gave us, about your demo request and Foreline's services.

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties.

  • Frequency: up to about 8 messages over two weeks, then occasional updates. Message frequency varies.
  • Cost: message and data rates may apply. We don't charge for the messages; your carrier may.
  • To stop: reply STOP to any message and we will stop texting that number. You will get one confirmation message and nothing after that.
  • For help: reply HELP, or email hello@forelinesystems.com.
  • Carriers are not liable for delayed or undelivered messages.

Text consent is separate from call consent. Unchecking one does not affect the other, and neither is a condition of buying anything from us.

7. How we use your information

  • To contact you about the demo you asked for, and to schedule it
  • To answer your questions and, if we agree to work together, to set up and run your Foreline system
  • To tell you about Foreline's services — by email, and by call or text only where you gave consent
  • To keep a record of your consent choices, so we can honor them and prove what you agreed to
  • To measure our advertising and decide where to spend, as described in section 3
  • To keep the site and our systems secure, prevent abuse, and meet our legal obligations

We do not sell your personal information, and we do not share it with anyone for their own marketing.

8. Who we share it with

We share your information only with service providers who need it to do a job for us, and only for that job. Today that list is:

  • Meta — advertising measurement and audiences (section 3)
  • Netlify — website hosting and form submissions
  • Google — Workspace: email, spreadsheets, calendar; and Google Fonts, which serves this site's typefaces (section 3)
  • Retell AI — the AI phone agent, call recording and transcription
  • Make.com — moving data between the systems above
  • Pushover — instant alerts to our phones when a demo request comes in, carrying your name, phone number and request details, so a person can call you back
  • Cal.com — booking a demo time when you schedule through our AI phone agent
  • ipify — looking up your IP address for the consent record (section 2)
  • Twilio — phone numbers and text message delivery, when texting is enabled

We may also disclose information if the law requires it, to enforce our agreements, or to protect the rights and safety of Foreline, our clients or the public. If Foreline is sold or merged, information may transfer to the buyer, who would remain bound by this policy until they tell you otherwise.

Note that the mobile-information restriction in section 6 is an exception with no carve-outs for marketing: your opt-in data is not shared with third parties for their marketing, full stop.

9. How long we keep it

  • Demo requests and consent records: as long as you are a lead or a client, and for 5 years after our last contact — consent and do-not-call records are the evidence we would need if a complaint were ever made about a call or text, and we keep them for the five-year period telemarketing rules require.
  • Call recordings and transcripts: 90 days, then deleted.
  • Website and advertising data: as set by Meta's and Netlify's own retention periods; our own analytics records are kept no longer than 2 years.
  • Records we must keep by law — tax, accounting, contracts — for as long as the law requires.

If you ask us to delete your information, we do, except for the minimum we must keep to honor an opt-out (for example, keeping your number on our do-not-contact list so we don't contact it again) or to meet a legal obligation.

10. Your choices and rights

Whoever and wherever you are, you can ask us to:

  • Access — tell you what information we hold about you
  • Correct — fix anything that's wrong
  • Delete — remove your information from our systems

Email hello@forelinesystems.com from the address you gave us, or tell us which address you used, and we will respond within 30 days. We do not charge for this and we will not treat you differently for asking.

You can also, at any time and without contacting anyone:

  • Revoke call consent — tell the caller, or email us
  • Revoke text consent — reply STOP to any message
  • Stop emails — reply "unsubscribe" to any email, or email hello@forelinesystems.com

Revoking one channel does not revoke the others, so tell us if you want all of them off and we will do that instead.

Depending on where you live, you may have additional rights under state law, including the right to know what categories of personal information we collect and to appeal a refused request. Use the same email address and we will handle it.

11. Children

This site and our services are for contractors and business owners. They are not directed to anyone under 18, and we do not knowingly collect information from anyone under 18. If you believe a minor has given us information, email us and we will delete it.

12. Changes to this policy

If we change this policy we will update the effective date at the top and post the new version here. If the change is significant — a new purpose, a new category of data, a new recipient — we will say so clearly on this page, and we will not apply it retroactively to consent you gave under the old wording.
